How to Archive Media Files in VIDIZMO
VIDIZMO allows you to archive media files to reduce costs while retaining content for compliance or long-term retention. You can archive content manually or automatically using Content Lifecycle Policies.
Prerequisites
Before you begin, ensure the following:

Archive: This permission allows users to archive content in the Portal only if a lifecycle policy for archiving has been established.

Content Life Cycle Policy: This permission lets users archive content from the library and manage its lifecycle by creating policies for deleting or purging content.

Tenant Policy Workflow: Must be enabled in Content Lifecycle Policy settings to perform tier changes.
NOTE Contact your Portal administrator if you do not have the required permissions enabled for your group.
Create an Archive Policy
Create a Change Tier Policy to automatically archive content based on your defined criteria.
- Open the navigation pane using the top-left button.
- Select Admin from the dropdown.
- Select Portal Settings.
- In Portal Settings, select Library.
- Select Content Lifecycle Policy.
- Enable the Tenant Policy Workflow toggle to allow policy execution on your Portal.
- Select Add Policy.
Configure Policy Settings
- Enter a unique Policy Name.
- Enter a Description with relevant details about the policy purpose.
- From the Type dropdown, select Change Tier.
- From the Policy Action dropdown, select Move to Archive.
- From the Apply To dropdown, select the content scope:
- All Content: The policy applies to all content in your Portal.
- Limited Content: Define specific criteria using clauses.
Define Content Selection Criteria
When you select Limited Content, configure the selection criteria using Field, Operator, and Value clauses.

- Select a Field from the dropdown.
- Select an Operator (In, Not In, Equals).
- Select or enter the Value to match.
- Select Add New Clause to add additional criteria.
- Select the x button next to a clause to remove it.
NOTE: Certain clauses are mandatory for content selection and cannot be removed. You can modify their Operators and Values.
Set Execution Type
- Use the Execution Type toggle to set how the policy runs:
- Toggle On: Automatic execution based on the configured schedule.
- Toggle Off: Manual execution only.
- Select Create to save the policy.
- Select the Preview tab to view Portal content affected by the policy.
- Select the History tab to view policy execution logs.

Archive Media Manually
You can archive media files directly from the Portal library using the Change Tier action. This works for single files or bulk selections.
- Go to Media Library or Media Manager.
- Select the media file you want to archive. To archive multiple files, select the checkboxes for each file.
- In the action ribbon, select Change Tier.
- In the Change Tier dialog, select Archive.
- Select Confirm.
The system queues the selected media files for archival.
NOTE: The Tenant Policy Workflow must be enabled in Content Lifecycle Policy settings to perform manual tier changes.
View Archived Files
Access your archived content from the Archived tab in the Portal library.
- Go to Media Library or Media Manager.
- Select the Archived tab in the left navigation pane.
The Archived tab displays all archived content. You can view thumbnails and metadata for archived files.
Playback Archived Media
With VIDIZMO Storage, you can play back archived media directly from the Archived tab without unarchiving.
- Go to the Archived tab.
- Select the media file you want to play.
- The media player loads and begins playback.
NOTE: Direct playback of archived content is only available with VIDIZMO Storage. For Azure Archive tier, you must unarchive the content first.
Unarchive Media
To modify or fully access archived content, move it back to the Hot or Cool tier. You can unarchive manually using the Change Tier option or automatically using a Content Lifecycle Policy.
Unarchive Manually
- Go to the Archived tab.
- Select the archived media file. To unarchive multiple files, select the checkboxes for each file.
- In the action ribbon, select Change Tier.
- In the UnArchive dialog, select the target tier: Hot or Cool.
- Select Confirm.
Unarchive Using a Policy
Create a Change Tier Policy with Move to Hot or Move to Cool as the Policy Action. Configure the policy to target archived content and enable automatic execution. The continuous workflow unarchives content based on your defined criteria.
